It is very important for a project manager to be able to control the cost of the project when it comes to a more dynamic and adaptive type of project setting. Also, a project manager should be able to have control over the flexibility of the project. In this blog, we will go in depth of the cost management topic in project management and ways on how project managers can be able to adjust and manage costs. This is important especially in an environment where many of the factors in the project keep continuously changing.
What is Cost Management?

Cost management is the act of planning and also controlling the budget of a company or a specific project in relation to the company. Before the project starts and also while the project is occurring, the project manager and many of the top employees in relation to the project will perform budget calculations on resources used in the project. This will give a very clear idea on where to allocate specific portions of the budget in the project. Being able to have a proper cost management plan before the project actually starts helps businesses and projects reduce the probability of ending up going over the budget. After a project ends, an evaluation is done to compare what was spent in the project with relation to the cost management plan. This helps the project manager and the team members assess what could have been done better in the creation of the cost management plan. Also, this evaluates the business on how they should have followed the cost management plan more seriously if they went over the budget with certain aspects of the project. Very recently in project cost management, project managers need to have the skill of being able manage the costs with projects that are more adaptable and changeable. They also need to have a good control of the adaptable flexibility that occurs throughout the project. Below I will discuss ways how project managers can be able to manage and control projects that are more changeable.
Challenges Related to Effective Cost Control and Overcoming Them
Many project managers and teams have been finding it difficult with managing and controlling the costs of a project. This especially occurs when they do not have a good control on the project when it comes to the adaptation of the project and requirements and tasks that keep continuously changing. Below I will discuss three challenges that relate to the effective cost control of project management and ways to overcome them.

Managing Changes that Occur in a project- In many projects, unexpected changes occurring throughout the duration of the project is very common. Managing multiple changes in a project can have an effect on the use of cost control being effective. This can create a lot of issues with the project when it comes to forecasting the budget. An effective solution is to have a change management process as a structured approach which can have a good control of the changes that occur. This process will help determine if the change is necessary before approving it. Having this in place reduces the budget of the project.
Inaccuracy of reports- Many companies use reports to be able to be able to track factors like the profit and spending that occurs. However, oftentimes, many of these reports are commonly used with Microsoft Excel. This can cause a lot of inaccuracy with entering the data. Because of this, there can be major consequences for making decisions on data that is not accurate. Ways to prevent it from happening is to use pre-built reports that are automatically generated.

Budget Forecasting- Budget Forecasting faces a lot of challenges with not being able to give the most accurate information of the direction of the business. Part of the reason is that much of the data is stored in spreadsheets. The data that is usually in these spreadsheets many times is not credible. This has a negative impact on seeing the specific direction of where the business is heading towards. A solution for this problem is a budget software, because this can have a more realistic budget and solve these types of issues in the long-term.

Another type of estimation that helps project managers plan for the dynamic nature of the project is Analogous estimation. Analogous estimation is estimating the cost, time, and duration of a current project with relation to previous projects that are very similar. This estimation technique is very useful for projects where the information is not very clear and the data that is available is limited. The steps that project managers take in this approach is that they first list out projects in the past that are similar. Then they collect similar factors in those projects with relation to cost, duration, and the activities. Next they determine the estimates based on the stakeholders needs. Finally they estimate the total cost of the project. With project managers being able to perform these steps, they are able to have a better understanding of the costs of the project with vague details and requirements. This helps project managers have a better understanding of a project when it comes to planning costs for the not very clear requirements. Also it helps with the dynamic changes in the project throughout time.

As shown, one of the most important skills of a project manager is to be able to be able to manage the costs of the project based and have a good control on the dynamic adaptiveness of the project. Analogous estimation is a very important step in project management, due to the dynamic nature. With being able to plan the project based on previous projects, it helps the project manager and the team members of the project have a good understanding of the requirements, especially the costs involved. Also another important thing is that having a system in place for managing changes, will help the project not be able to go over the budget. Many projects tend to have unexpected additions which can cause the cost of it to increase. Having a change management approval plan will limit many of these changes from occurring, which will help the project cost be as close to the budget planned.
