Procurement management is crucial to the success of your project, failing to handle procurement correctly will greatly impact the success of your project and in this blog post, we will navigate the different aspects of project procurement management, as well as tools and tips you can use to ensure project success.

Project Procurement Management

Procurement management is the process of acquiring goods, services and resources needed to complete your project successfully. Procurement management entails many steps, such as planning, sourcing, contracting and simply managing that the whole process goes through smoothly, on time, for the right price and the correct quality. This is a fundamental aspect of project management, since these resources are crucial for the project to be completed, and missing one of these items, or acquiring a resource too cheap , could affect both the quality of the final product, or delay the time it takes for the project to be completed.

Procurement Management in Project Management

Procurement management is typically integrated throughout the entire project process, but thinking of this early on is important and most managers plan for procurement management early on in the process, usually when planning scope. As mentioned earlier scope planning involves resource planning heavily, often when planning for the resources your project needs you can also plan where you plan on acquiring these resources, during what part of the project you will need them, and how much should they cost or how much the stakeholders are willing to pay for these. According to many resources, procurement management involves many steps: Planning procurements, Conducting procurements, Administering procurements. We talked about planning, but what is conducting? This essentially involves sourcing suppliers, soliciting proposals from suppliers and selecting a supplier for the good or service you are looking to purchase. Finally, administering procurement involves more managing contracts with suppliers, monitoring that the resources are provided correctly, and fixing any possible issues that may arise from your resources.

Procurement Management in IT (Information Technology)

In the world of IT some of these steps may be carried out a bit different, for example, selecting the correct IT vendor, there are many things you must consider: Cost: you must do a lot of research on what are normal cost for the product you are looking to buy, in IT projects you can also consider the cost of developing technologies your self and compare the prices, sometimes it can be cheaper to buy pre made tech. Technical Expertise: Making sure the vendor is more than capable of delivering your service with the quality needed, checking their other work is crucial here and making sure they can provide the technical expertise for the job required. Align with Project Requirements: On top of making sure the vendors expertise align with your project you must also check if their values and maybe even work ethic align with your teams and projects goals.

Conclusion

In conclusion as a project manager, project procurement management is a key concept you must understand and be able to carry out. Procurement starts from the beginning of your project, all the way from defining the projects scope, where you plan the resources needed to complete your project here is where planning for procurement starts as well by planning where these resources will be acquired, and what is the cost your stakeholders are willing to pay for these resources, also making sure that the cost you will be spending is standard and you are not overpaying. This process also carries out throughout the project, since you will also need to make sure the vendor goes through with what you agreed upon, and making sure everything is carried out smoothly.
